1. JOB DETAILS:

Position Title: Manager Admin services

Reports to: Manager Facility

Department: Administration

Function: Administration Head Office and Trading, Housing, Maintenance

Prepared / Revised on: Systems Department


 

2. JOB PURPOSE:

This Position exist to Maintain and Supervise effective & efficient administration services, and Provide high standard Quality admin services including Quality Catering ,Cleaning, car maintenance and Insurance for Employees and visitors for office and housing ensure smooth and accurate processes of admin Services, develop and safeguard Administration system and maintain healthy relation with related bodies

4. KEY ACCOUNTABILITIES: Description


 

Strategy Development:

"X Contribute to the formulation and implementation of overall Administration plans, which enable the achievement of Company objectives.

Strategy Implementation:

"X Direct Administration process effectively, Provide guidance quality of admin services minimise Complain ensure this function grows in line with the Company¡¦s business objectives. Provide high quality, cost-effective admin service operations to the organization,

Organization Structures:

"X Define an optimum organisation structure for the Moulds factory in coordination with systems department so that resources are optimally utilised and communication can take place in an efficient manner.

Leadership:

"X Ensure the effective achievement Admin service functional objectives through the leadership of Personnel setting individual objectives, managing performance, developing and motivating staff, provision of formal and informal feedback and appraisal ¡V in order to maximize subordinate and departmental performance.

Budgeting & Cost Control:

"X Provide the Support in the preparation of the Admin services budget and monitor financial performance versus the budget so that the business is aware of anticipated costs/revenues, areas of unsatisfactory performance are identified and potential performance improvement opportunities are capitalised upon

Admin services Policies and Procedures :

Develop and oversee the implementation of admin services policies and procedures covering all areas of administration which include (Admin, Housing, Maintenance, Car insurance, catering) so that all relevant procedures requirements are fulfilled while delivering admin services to customers. In coordination with systems department

Other Related Duties and responsibilities

"X Well prepare, approve and achieve admin services plans

"X Accountable for Administration functions and support all business units/departments.

"X Supervise, and Direct the admin Services that allow Organization to Operate Efficiently on the other hand develop departmental plans, set goals and deadlines

"X Plan the employee housing on a strategic level

"X Manage the safety and security teams and systems ¡Vfire fighting, fire alarming, CCTV¡K-

"X Administer and monitor the cleaning process for the company buildings and houses.

"X Ensure safe and quality catering service for company employees and guests.

"X Supervise the housing of employees in a safe and attractive environment of offices and houses

"X Maintain cordial relations with external and governmental bodies.

"X Control the process of managing the company car fleet, fuel, and car rental.

"X Ensure the availability and the proper usage of the communication means ¡Vfixed lines, fax lines¡K-

"X Supervise the process of drivers¡¦ management.

"X administer and monitor the Maintenance process for the company and housing

"X administer and monitor the currier process

"X administer and monitor the rental of company buildings and housing buildings

"X Manage company events.

"X Manage and control the provisioning of various offers to the employees

"X Supervise the business card issuance process.

"X Conducting regular research and analysis and advising management with findings to improve administration system

"X Maximize team performance though continuous development, support

"X full compliance and adherence with existing policies and procedures

Minimum Qualifications:

"X Bachelor Degree is a must preferably in business Management and administration /Masters degree is preferable

"X Minimum 2 years of professional experience in Similar Position in a large size company
